What You'll Do As Administrative, Parts, and Quality Assurance, you will support the Maintenance Supervisor and team with a wide range of the company day-to-day operations.
The position requires strong organizational skills as well as excellent attention to detail.
This position has significant contact with customers, vendors, and employees in person, through email or on the telephone.
Administrative Duties Works with Lead Technicians to file completed task cards, inspection reports, and parts documents for open work orders.
Reviews work orders and task cards for completeness; works with Lead Technicians to file completed task cards, inspection reports, and parts documentation for each open work order.
Assembles completed work order package including logbook entries, completed task cards, inspection reports and parts certifications.
Delivers work order package to customer at aircraft departure.
Assists with Tool Calibration tracking and maintenance.
Ensures times and cycles are correct.
Review items for Tooling.
Verify that tools are added to the work order.
Ensure flight logs / other write-ups are addressed and signed off.
Address Part 135 operators RII items and ensure items are signed by an approved signer.
Create work order books in a timely fashion.
Supports Office Administrator as needed.

Opens aircraft work-orders in company production control system (Ebis) and create excel spreadsheets).
Scan and upload vendor docs (POs, WOA, CMP Cards).
Update schedule on calendar for aircraft arrival and departure.
Manage all emails received through the vendor invoice email address which includes forwarding to the applicable approver, ensuring approved invoice is returned, and uploading approved invoice for A/P processing.
Create, use, and maintain WJA and SA documentation.
Parts Duties Liaise with maintenance techs to determine parts and supply needs.
Maintain an accurate inventory of stocked parts, equipment, and supplies.
Obtain pricing and availability of parts from selected vendors.
Assist with the tracking of shipments and assist with resolving any logistical issues to ensure on time aircraft delivery.
Create Purchase Orders and process incoming parts / invoices Other Duties Assist the Compliance Supervisor with OSHA Training Assist in coordinating training to ensure OSHA compliance.
Assist the Compliance Supervisor with any administrative duties to maintain our Drug and Alcohol Program (DOT).
Continuously improves skills; attends safety training and any required training; and any other training to improves professional and technical knowledge.
Minimum Requirements Computer literate; proficient in Microsoft Office Suite.
Intermediate to Advanced skills with Microsoft Excel and Microsoft Outlook.
Able to learn new systems including Ebis, Fusion, Salesforce and security systems.
Strong written, verbal, presentation, and interpersonal skills.
High school diploma or equivalent required.
Bachelor's Degree preferred.
Six months to 1-year supervisory experience preferred, but not required.
Familiarity with aircraft maintenance tracking systems (Camp / CMP).
Aviation or related industry experience preferred.
Aircraft records experience preferred.
Other Abilities Capacity to understand the content of aircraft technical data.
Ability to communicate with all levels of employees throughout the company, develop and maintain strong working relationships with internal and external customers.
Ability to handle multiple duties / priorities daily; ability to function effectively under deadlines and still maintain accuracy; able to keep up in a fast-paced work environment.
Organized and detailed oriented:
able to manage and complete multiple projects simultaneously.
Strong communication:
both written and orally (consistent, efficient, and effective).
Is a Team member yet knowing when to work independently.
Pro-active:
able to note things that need to be done without being prompted and proactively address them.
Excellent customer services skills when dealing with staff, clients, and vendors.
Physical and Other Requirements:
Typical work is conducted inside an office; however, some work may be in the Aircraft Hangar.
There may be some exposure to excessive heat, fumes, chemicals, and loud noise.
Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, monitor, keyboard, mouse, printers / copiers, and be seated for long periods of time.
Opportunity to work some weekends, though not required.
Viable and reliable transportation to and from work required.
Vision to read printed materials and a computer screen and perform essential duties.
Hearing and speech to communicate in person and over the telephone.
Substantial periods of physical activity, including but not limited to:
